If it’s your job to help people, how much of other people’s time are you wasting if you can’t find the documents and papers you need, when you need them? You owe it to yourself to file effectively, however boring this may seem. Imagine how much more impressive it would have been if – when asked – smiled and accessed a well-organized filing system, immediately found the document, and quickly given the answer!

Even in the age of email and the internet, we still deal with many paper documents and files. There’s a flurry of data pouring in from all directions that we need to process and, usually, store to retrieve later. We want to be able to lay our hands on the information we need – at the right moment, when we need it.

All too often, though, we waste our own time searching for data that’s actually sitting somewhere on our desk or in an office filing cabinet. This adds to our stress, and makes the task more difficult than it ought to be. When you receive a document from a co-worker, vendor, or customer, it’s tempting to “just put it away” in a pile on your desk or drawer for the time being. “Hmm. looks interesting, but I’ll take a closer look at this later, when I’ve got more time.” Sound familiar? After a while, many such documents build up, leading to a lot of clutter. It’s highly unlikely that you’ll ever find time to go back and get all of that information organized.

Effective filing boils down to this: store the information in folders – by category, and in a sequence that makes sense to you.

Here are some tips to help manage your files:

• Avoid saving unnecessary documents

• Follow a consistent method for naming your files and folders

• Store related documents together, whatever their type

• Separate ongoing work from completed work

• Make digital copies of paper documents with a scanner

For any system to be useful and effective, it must also be convenient for you. To some extent, this depends on the nature of your business or the work that you do. So, although there’s no “one size fits all” solution to file management, you will likely profit by using some of these file management tips, and by customizing them in a way that best serves your own needs. Happy Filing!

Recently, you’ve likely heard a push from numerous sources to “buy local,” or to “work with your neighbor.” But what exactly does working with a local company entail? Won’t I pay more? Will I get the same quality of service I’ve come to expect from a larger, national chain? What’s in it for me? By utilizing a local office supplier you can broaden your product lineup while simultaneously building closer relationships with your customers. There is a sense of pride when you go to the store and buy goods and services from people you know, or from companies you see in your own backyard. Managing your company’s supplies through a local vendor can actually save you money. At Prairie Office Plus, we strive to stay competitively priced on the products we sell. In fact, if you can find a lower price anywhere, we’ll match it. We are able to make pricing adjustments more quickly and, as such, are more agile. We will work with you to help manage your own office spending through product recommendations and possible bulk purchasing. When you think about purchasing your company’s supplies, ask yourself this question: Why deal with a national chain that has spent thousands of dollars to build a computer system designed to minimize the need for people? You can be sure that when you do business over the internet with people you don’t know, your experience (at the very least from a customer service standpoint) will suffer. Instead, choose Prairie Office Plus and purchase locally. By dealing locally, you can take advantage of in person meetings with experienced account representatives or ask questions to a qualified customer service person. You can order online, over the phone, or even through fax or email. We offer a huge product selection, and tailored services based on your needs as a business. At Prairie Office Plus we treat you like an important client - even on your smallest orders - because we understand the importance of doing business locally. There’s no question that an office environment can have a huge impact on how employees perform and feel about work. In fact, a study from Salesforce found that about 86% of employees and executives think that workplace failures are due to a lack of collaboration or ineffective communication.

Designated collaboration spaces not only allow employees to maximize their meeting time but can serve as boundaries between independent work time and collaboration. These spaces should be structured for meetings and include the necessary tools for productivity and collaboration such as whiteboards, comfortable seating, proper lighting, and the appropriate technology.

Adding neighborhoods to an office floor plan takes these designated spaces to the next level. Neighborhoods typically have different themes and can be designed for one specific kind of task. Whether your marketing team needs a “war room” to hash out details of their next campaign, or your accounting team needs a quiet space to crank out work during tax season, neighborhoods serve as the ultimate workspace for whatever your employees need. Neighborhoods are a great way to encourage community, team building, and collaboration due to their tailored nature.

Movable furniture could be the answer to many issues relating to productivity and collaboration around the office. Being able to move desks, cabinets, and chairs easily so employees can hold meetings—whether they are long presentations or quick touch bases—can encourage collaboration. With that being said, giving employees the opportunity to close themselves off when they need to buckle down and tackle their to-do list is equally important. Growing a stronger, more connected team starts in the office, and facility managers are in the perfect position to help make that a reality.

Office Floor Plans are becoming increasingly unique, but the reality is, a particular floor plan might not be best for all employees’ work style. At the end of the day, your employees still need to be able to produce their best work at work. Need help creating the ultimate office plan for your company? …Call Prairie Office Plus today!
